Configuring Printing in the Staff Client

Spine and Pocket Label Printing

Printing from Integrated Library Systems to standard format and label printers is often challenging.

Basic Printing Overview

  1. Printing spine and pocket labels can be done while creating item records.
  2. To print a label, search for and bring up the record in the catalogue.
  3. Click on Actions for this Record and go to Holdings Maintenance.
  4. Click on the first holdings line; then click on Actions for Selected Rows.
  5. Select Create Volume; the Volume/Copy? Editor window appears.
  6. Notice that there is a button in the upper right that is labeled Print Labels?
  7. Check the box next to it. Then go ahead and create your volume and one copy.

TIP: As you use Evergreen’s printing functions, note any problems that come up or needed enhancements, so that the CONIFER group can address them.

Spine Label Parameters

The Printing screen will appear.

From this screen you can fill in the various values that you need for margins and width of the spine and pocket labels, the font size, and the information you want included on the labels. You can also edit the call number if you wish.

The spine label parameters are listed under the Spine Label heading and include only:

  • Left Margin (in characters)
  • Label Width (in characters)
  • Label Length (in lines)

NOTE: Spine labels will include only the call number.

The pocket label parameters are much more numerous.

  • Middle Margin (in characters)
  • Label Width (in characters)
  • Label Length (in lines)

Plus the following choices that can be made by checking or un-checking the boxes to the left and then filling in the number to the right:

In addition, there are four fields for customizing with macros (e.g. creating special messages, etc. for printing drawn from the bibliographic and holdings records), as well as list of pre-configured macros accessed through the Available Macros button at the bottom of the Printing screen.

NOTE: spine and pocket labels are not created simultaneously. You must choose to create a spine or a pocket label.

Tips

Creating Spine Labels

To create a spine label, first make sure that the checkbox across from Pocket Label heading is not checked. Then fill in the values for the label and check the call number in the label window to the right. You can edit the call number in that window if necessary.

If you have made any changes to the pre-set parameters, you will then click on the Re-Generate button in the upper left to set the changes. Next, click on the Preview and Print button. The label will be printed.

Creating Pocket Labels

To create a pocket label, first make sure that the checkbox across from Pocket Label heading is checked. Then fill in the values for the pocket label and check the call number in the label window to the right. You can edit the call number in that window if necessary.

Printing FAQ

Question
How do you print multiple copies of labels for large numbers of issues for any particular journal?
Answer
The Print Spine Label function is now working. You should see that it invokes the standard Windows Print dialog screen, on which appears a # of copies box that defaults to 1, but which you can set whatever number of copies you require.


Question
How do you switch between different types of printers (e.g. standard vs. label)?
Answer
After you click Print Page on the Preview and Print page, the Windows Print dialogue is exposed and you have the option of changing the printer from the system default at that time.

Why does it take so many steps to print?
Answer
Currently, in a best case scenario, to print a single spine label today takes five mouse clicks:
  • One to bring up the context menu (either a right-click, or Actions for selected rows);
  • One to select Print spine label from the context menu;
  • One to click Preview and print button (assuming the font size and call number are perfect) ;
  • One to click Print page button on the preview page;
  • One to click the Print button on the Windows print dialogue.

Customizing Printing Spine Labels

This section is adapted from instructions written by Elaine Hardy of the Georgia Public Library Service, PINES Services & Support

Initial Setup -- Create Custom Forms in Windows XP

Label Stock

You will need to create a custom form or page type for your label stock. No standard stock templates have been defined for printing these labels in Evergreen. The carrier height and width varies for the stock depending on vendor and style. For example, the Arthur A. Wishart Library at Algoma University currently uses Dymo 400 series label printers for the Dymo compatible LV-30347 spine label that measures 1” wide by 1.5” long.

To create the custom form in Windows, you will need to measure the section of the continuous label stock and not the label itself. Once you have determined the dimensions, you can create the custom form.

In Windows, click on Start > Printers and Faxes > File > Server Properties (or right click anywhere on blank space in the Printers and Faxes window and click on Server Properties).

Click the checkbox next to the Create New Form heading.

Under the Form Description (Measurements), ensure that appropriate units of measurement are selected. (For the Dymo 400 example, we have selected English Units.)

In the Form name field, etner a name of your choosing.

Type in your measurements; for example:

Linking the Printer to the Custom Form in Windows XP

In Windows, click on Start > Printers and Faxes.

Right click on your printer and chose Printer Preferences from the contextual menu.

For the Dymo 400 example, this opens the DYMO Labelwriter400 Printing Preferences dialogue; choose the Paper/Quality? tab.

Ensure that the radio button beside the Black & White label is checked.

Click on the Advanced button.

This opens the DYMO LabelWriter400 Advanced Options dialogue.

In the Paper Size field, choose your custom form name.

Click the OK button to close the DYMO LabelWriter? 400 Advanced Options dialogue

Then click on the Apply button to close the DYMO LabelWriter? 400 Printing Preferences dialogue.

NOTE: The same process is used to set up other printers; e.g. for bills on 8.5”x11” paper.
